Your Game Day Photo Roster lists all coaches, players, and guest players, as well as the date, location, and opponent.
It's the first and most important piece of your game day: the referee will need your roster to check everyone in and make sure everyone's cleared and safe to play. As per our rules and regulations, if a team does not provide a printed roster, the game is forfeit.
Why do we need a game day roster?
There's a lot of things we track in the office that help keep everyone safe–we want to make sure all the kids are playing in the right age bracket, track disciplinary measures, cover everyone under our insurance, and make sure coaches are background cleared and have the right training to keep their players safe.
Referees are contractors, not SFYS employees, and many are minors just getting their first experience with responsibility. We don't expect them to understand all the background behind why a player or coach might not be cleared (much less explain all that to everyone in the short time we have for check-in), but we do want to give the referee (and everyone else) the confidence we've done our due diligence so everyone can have fun safely. The game day photo roster lets us do all that in a one-page summary.
Why does the roster need to be printed instead of digital?
We've attempted a fully digital season before, and it caused way too many problems during check in. Teams had issues with connectivity and couldn't load their rosters; referees had nothing to reference to tell if a player had been checked in (vs. snuck in), or if they needed someone's name to commend or card; teams were showing referees everything from an Excel sheet to TeamSnap; our office couldn't reference coach names to follow up for Fair Play issues; across the board, everyone asked to go back to printed rosters.
Why can't I print one roster for my first game and use it for the whole season?
1. If you have any guest players, they won't be listed and won't be able to play.
2. The referee won't know if something comes up later in the season that may keep a player or coach from participating (ex. red card or other disciplinary measure, expiring certification, failed background check).

Just last weekend, a coach tried to get my son (a referee) to allow guest players to play who weren't on the printed roster by saying that David had approved it. Luckily, my son didn't allow it. I've discussed the insurance part with my son many times and he knows that he should never allow a coach to use anything other than the GDPR, regardless of any names they drop. Can you elaborate a little on the insurance piece, and what it means that rostered players are covered?
